Remote Team Headshot Process That Actually Ships
Remote headshot projects die in Slack. Someone posts “please send photos,” half the team replies with vacation crops, and the website stays stale. Treat it like a small product launch: owner, deadline, acceptance criteria, and a single tool path.
Assign an owner and a definition of done
People-ops, design, or an office manager owns the project. Done means: every public-facing teammate has an approved square export in the brand folder, cropped consistently, named `firstname-lastname.jpg`, and uploaded to the CMS. Without that definition, you will get “I sent something last month” forever.
Week 1: brief + tool
Share the selfie checklist and the locked HeadshotCam style. Include App Store / Play Store links and a two-minute Loom if needed. Collect questions early — wardrobe confusion is the usual blocker. Offer office hours on a calendar link rather than answering the same DM twenty times.
Week 2: generate + QA
Teammates submit finals to a shared drive. Owner checks: eyes visible, no heavy filters, style family matches, file is high-res. Reject kindly with a specific fix (“more daylight,” “try Corporate Consultant style”). Cap at two revision rounds so the project ends.
Publish and maintain
Batch-upload to the team page. Add the brief to the new-hire checklist. Revisit quarterly for joiners and role changes. If leadership wants a more formal campaign later, you still have a coherent baseline instead of a graveyard of mismatched Zoom stills.
